Money 💰

One of the most important parts of running your hackathon is being able to accept, store, and spend money. Hack+Events makes it incredibly simple and efficient to manage finances. 💸

Receiving Money

There's a few different ways to receive money into your account. We've set up some processes to make things as easy as possible.

Corporate Sponsorships and Donations

When you lock in a sponsor or donor, we generate an invoice that you can send to them. Our invoices are awesome: sponsors can choose to pay online instantly via credit/debit card or an ACH bank transfer (or they can mail a check to the address on the invoice), and our system takes care of everything from providing a PDF version of the invoice to automatically sending a receipt after payments are processed. ✨

When you're ready to receive money, you'll need to ask your sponsor/donor for the following information:

  • Company full legal name
  • Company billing address
  • Full name of a point-of-contact at the company (usually the person you're in contact with)
  • Email of a point-of-contact
  • Phone number of a point-of-contact

After you've gotten that information, fill out our invoice request form and we'll automatically send out the invoice to your sponsor within 1 hour. 💵

NOTE: Upon special request, we can also create PayPal invoices for sponsors who prefer using PayPal as a payment method. Contact your Rep if this is the case, and we'll get that set up for you.

Personal Donations

We can also set up a Donorbox link for your organization to receive personal donations (just like this one), which allows donations through virtually any payment method and even provides information on corporate matching. If you'd like a page set up for your organization, please provide your Rep with the following:

  • 2-3 sentence description of your organization
  • (optional) Logo in any image format
  • (optional) Your "brand color" for styling the page

We'll set up and manage the page for you. You'll soon be able to access donation details through your Dash.

Spending Money

Being able to easily spend money is also crucial, and happens to be another place where Hack+Events makes your life wonderful. Before spending money, there's a few questions you'll need to answer. Follow your way through this flow chart, and reference the appropriate section below.

Abacus

Abacus is Hack+'s official reimbursement platform. For small transactions or purchases made during the event, pay them with your personal money, then file the expense and receipt on Abacus for a fast and easy reimbursement directly to your bank account. Contact your Rep for invites to Abacus.

Credit Cards

We're excited to offer Hack+ credit cards for you to directly access funds in your account and not worry about reimbursements. We're happy to provide cards to as many people on your team as you'd like, but each person (plus a parent/guardian if under 18) will need to sign a cardholder agreement. Please contact your Rep to request cards for your team.

Rep's Card

Every Hack+ Rep is equipped with a Hack+ corporate card, which they can use to pay for any in-person transaction for your event. If a Rep is at your event, bring them with you for all purchases.

Invoices or Large Purchases

For purchases larger than $1,000 or where a formal invoice has been provided, please contact your Rep with more information. We will pay the invoice directly from your account.
